The Problem Today

For many construction teams, tracking insurance compliance inside Sage 300 CRE is clunky and incomplete. Standard Sage fields can capture basics like General Liability, Workers’ Comp, Auto, and Umbrella—but they miss the real-world complexity of insurance requirements. Critical details such as additional insured designations, specific endorsements, certificate holder language, or even verifying a COI signature often live outside Sage, buried in emails or spreadsheets. Furthermore, getting subs compliant is time consuming. Without an insurance compliance integration, Sage users aren’t optimized for managing risk.

The result?

Project and Payment Delays: Can the accounting team pay the vendor? Can we allow the sub onsite? Unclear or slow insurance compliance workflows can lead to delays, frustration, and even extra expense if work slows down or stops.

Manual work: Teams spend hours reconciling COIs between Sage and outside records.

Risk exposure: Gaps in coverage can go unnoticed until it’s too late, because Sage has no comprehensive view of compliance.

Inefficiency at scale: Whether managing 10 subcontractors or 1,000, project teams are stuck piecing together compliance manually across vendors and commitments without a reliable, centralized status.

In other words, while Sage might be your system of record for commitments and vendors, it isn’t the system of record for insurance compliance. That disconnect slows teams down and creates unnecessary risk for general contractors and subcontractors.

The Solution: Jones Global Compliance in Sage 300 CRE

A true compliance status inside Sage.

Using a custom field, our integration displays an Overall Compliance Status for each subcontractor—so you instantly know whether they’re covered, even for requirements Sage doesn’t normally capture (certificate holder language, additional insured designations, endorsements, COI signatures, etc.).

This is a simple yes/no compliance status that covers the whole cert. It is both easy to read and comprehensive – our auditing experts check for all components of compliance based on your requirements. This status isn’t just for one policy, endorsement, or expiration, it represents all of them.

A seamless COI workflow. Subcontractors submit their COIs directly through Jones, where they’re audited to check for compliance. The results sync automatically to Sage every night, ensuring your vendor and commitment records are always accurate and current.

Flexible tracking to match your workflow. Whether you need compliance at the commitment level, vendor level, globally across all projects, or a mix of approaches, Global Compliance adapts to the way your team works.

The result is a single source of truth for insurance compliance inside Sage—no more spreadsheets, no more manual reconciliation, and no more guesswork. You save time, reduce risk, and gain confidence that every subcontractor on every project is truly covered.

How It Works

Built for Flexibility
Global Compliance is designed to fit your unique compliance workflow. You can choose from the following options for how you want your integration set up:

Commitment Level Only: Track compliance per project commitment in Sage. Each commitment can have its own compliance status coming from Jones.

Vendor Level Only: Update vendor insurance records in Sage without touching individual commitments. This is good for GCs who use blanket or global insurance requirements for approval and don’t need each Sage commitment updated.

Blanket/Global Tracking: Apply a single vendor certificate across all their commitments automatically. This is good for GCs who use blanket/global certificates and need each commitment updated quickly for payment approvals.

Mixed Approach: Use a global certificate while allowing project-specific exceptions for unique requirements.

Whether you’re managing a handful of subcontractors or hundreds, Global Compliance ensures your Sage 300 CRE system reflects the most accurate insurance compliance data. Most importantly, Jones meets you where you are. Our software works with your internal workflows to sync data at a global, project, or hybrid level. Jones adapts to you rather than you needing to adapt to Jones.
