There are two ways that COIs and insurance documents can be collected for review by Jones:
#1: They can be uploaded by subcontractors themselves
#2: If you already have the COIs and insurance documents on file, they can be uploaded by your team without needing to bother subcontractors.
In this article, we’ll be going over the second scenario.
You can upload new insurance documents at any time for subcontractors already working on your projects in Procore. There are a couple of ways to go about this:
Uploading insurance documents on behalf of subcontractors already working on your projects with project-level requirements is simple:
Once documents are uploaded, the status will change to "Under Review."
Uploading insurance documents on behalf of subcontractors already working on your projects with global-level requirements is similar to how it’s done on the project-level.

Procore users will only be able to upload insurance documents on behalf of subcontractors with global-level insurance requirements if they have permission to access the Procore company-level view. Learn more about "project-level" vs. "company-level" access in Procore's help center here.
You can still upload new documents for records with the status "Pending" or "Under Review." The most recently uploaded documents will be reviewed by Jones, not the previously submitted insurance documents.
When adding a new subcontractor to a project on Jones, you can upload insurance documents on their behalf instead of requesting them from the subcontractor. By doing this, the subcontractor will never receive an email asking them to submit insurance documents.
You can upload their insurance documents when adding the subcontractor to a project, or you can upload subcontractor insurance documents when they have new commitments created. See the "Commitment-triggered COI Requests" section of the Jones Procore Help Center for more information.
You’ll always have the option to upload insurance documents on behalf of subcontractors when adding them to Procore Projects.
Once the documents have been uploaded, the "Request a COI" checkbox will be unchecked. The insurance documents you uploaded will be reviewed for compliance by Jones and the subcontractor will not receive an email request for their COI.
If your team has Procore Project Financials you’ll have the ability to add new subcontractors to your projects based off of new commitments created. All subcontractors with new commitments will be added to a list in Procore, and from here you can easily upload insurance documents on their behalf.
In addition to COIs, you can upload many other types of insurance documents for review on behalf of subcontractors including endorsements (Additional Insureds, Primary and Noncontributory, Waiver of Subrogation, etc), policy declarations or information pages, MOIs, binders, and more. Below are some more specifics about the files you can upload.
