Send a COI Request

With the Jones Procore app, users can send COI requests to subcontractors within Procore. There’s no need to toggle between different tabs or other systems to request insurance documents. All it takes is one click in Procore.

There are many reasons why project managers and other team members prefer sending COI requests within Procore.

The main reason why we wanted to find a better compliance management platform was efficiency. The new solution needed to be so seamless that the amount of work spent by our team on requesting compliance would be minimal – minutes as opposed to several hours.

It’s important to note that you can only send project-level COI requests to companies listed in your project directory. Learn more about adding companies to the Procore Project Directory in Procore’s help center here.

When a COI is requested from a subcontractor within the Jones Procore app, the data is instantly pushed to Jones. This means that the record will be created in Jones and the subcontractor will immediately get an email requesting their insurance documents. Once a COI is submitted, Jones reviews all insurance documents, including endorsements in under 24 hours. The compliance status will be visible within Procore, and you can learn more about our COI review experts here.

When looking in the "Vendor History" tab on Jones, you will see the names of employees who have added vendors on Jones. However, employee names won’t be shown here for new vendors added through the Jones Procore app.

Subcontractors with Global Insurance Requirements (often referred to as annual insurance requirements) only need one compliant COI to work across all the projects on your account. This is an optional feature and ideal for companies that accept Blanket Additional Insureds. To initiate a Global Insurance Requirements COI request, you’ll first need to make sure that you’re on the Procore home screen and not in any specific project. When you open the Jones Procore app from the home screen, you’ll see a list of all the companies with global-level requirements.

Global Insurance Requirements AKA Annual Insurance Requirements in Procore

To add a new subcontractor with Global Insurance Requirements:

You can only send global COI requests to companies listed in your Procore company directory. Questions about adding companies to your Procore company directory? Learn more in Procore’s help center here.

All vendors with Global Insurance Requirements are created as new records in a separate project within Jones usually called "Global Subcontractors."

When requesting COIs on a project or global level, you can select multiple companies at the same time by using the checkboxes next to the company names.

Wondering what happens if a subcontractor doesn’t submit their insurance documents after they’ve been requested? Their compliance status on Procore will be listed as "Pending" or "Awaiting New COI." Click here to learn more about the actions you can take.

 

Navigate to a project in Procore and toggle to the "Request for Commitments" tab to see an updated list of all subcontractors missing insurance documents.

You’ll be able to request a COI from these companies that have had new commitments created in Procore. For more information about Commitment-triggered COI Requests, see the section here in our Procore Help Center.

Commitment-triggered COI Requests are only accessible with Procore Project Financials.

Regardless of whether a COI was requested on a project or global-level, or through Procore Commitments, subcontractors will receive a cadence of emails from Jones until they upload their insurance documents.

There is no way to retract a COI request once it has been initiated from Jones. If you would like the record to be removed from Procore, see the next section below on archiving and deleting records.

Users can delete or archive records in Jones, and these changes will be reflected in Procore.

Deleted records will be removed, and archived records will have the status: "Archived on Jones." These changes will be reflected after the nightly sync between data from Jones to Procore. There is no way to archive or delete COI requests within Procore, these changes need to be made on Jones.

In Jones, users can be assigned "read-only," "inviter," or "compliance manager" user permissions.

There are three different ways Procore users can access the Jones app in Procore:

Setting up Permissions in Procore for the Jones app

The approved permission templates you select will be mapped by our implementations team to ensure that users with these permissions can access the Jones Procore app. To configure this, simply reach out to your customer success manager or implementations manager with the name of the approved permissions templates. Any of your team members with these approved permissions templates will then be able to access the Jones Procore app. You can learn more about this in the "How to Install the Jones App" in this Procore Help Center page.

Additionally, you can reach out to your customer success manager if you would like users with certain Procore permissions templates to be added in Jones as specific user roles (such as "read-only" users, inviter roles, etc). Otherwise, all users added to Jones from the Jones Procore app will have the status of "compliance manager" in Jones.

You can then add users within the "User Management" section in the Jones Procore app.

Adding users to the Jones app in Procore

The ability to add users to request global-level COIs from subcontractors is virtually the same as adding users on a project-level. The user will just need to have permission to access the company-level view within Procore.
