How Jones Reviews Insurance Documents for Compliance: Interpreting the Results

On this page, we’ll go over how Jones reviews insurance documents for compliance, how you can view the results of these reviews in Procore, and what these compliance statuses mean.

After the Jones team of COI review experts check your subcontractor insurance documents, the compliance status of these documents will be viewable in Procore after the nightly sync (EST) from Jones to Procore.

Want to view the subcontractor insurance documents that were reviewed by Jones? Go into Procore and navigate to the Jones app. Click on the COI button under the "Insurance Documents" column to see the documents that Jones reviewed. Click here for a walkthrough.

In Procore, there are two areas where you can see a subcontractor’s compliance status.

The first is the Jones app home screen in Procore. This is ideal to see whether a subcontractor is compliant or not.

You'll be see the subcontractor’s compliance status (compliant, not compliant, expired, etc), but not the status of each policy within the COI.

Here are all the different results you'll see after a subcontractor's insurance documents are reviewed by Jones:

The insurance documents are compliant based on the requirements provided! (Note: If you log in to Jones and waive a coverage gap, it will be marked as "Compliant" in Procore)

  • No other actions need to be taken.

The insurance documents do not meet all of the requirements, and action is needed.

  • Want to mark these insurance coverage gaps as compliant? You can log in to Jones and override the insurance coverage gap as accepted or waived. Coverage gaps that are waived will appear as "Compliant" in Procore. Click here to learn more about waiving gaps.
  • Have a new set of insurance documents on hand for the subcontractor? You can upload them on behalf of the subcontractor. Click here to learn more.
  • Want to request new insurance documents from the subcontractor? Log into Jones and click the "Send Gaps" button to send an email notification to the subcontractor requesting new insurance documents. Click here to learn more.

A policy within the insurance documents has expired.

  • Log into Jones and click the "Request New COI" button
  • Upload new insurance documents on behalf of the subcontractor. Learn more here.
A request has been sent to the subcontractor to upload insurance documents and Jones does not have their insurance documents on file.
The subcontractor will receive a series of emails asking them to submit their insurance documents. Learn more about these emails here.

  • If you happen to have the insurance documents on hand, you can upload them on behalf of the subcontractor. Learn more here.
  • If its been over a week and you still haven’t collected the subcontractor’s insurance documents, you can log in to Jones and click the "Resend Invitation" button to try and collect the insurance documents again.
You’ve just uploaded insurance documents and the Jones team will review them shortly. Check back soon for the updated compliance status!
It’s important to note that this status will only appear when uploading COIs and insurance documents on behalf of subcontractors. Learn more here.

  • No other actions need to be taken.

The subcontractor’s insurance documents were already collected and found to be not compliant. An email has been sent to the subcontractor to upload new insurance documents so the coverage gaps can be resolved.

  • Want to mark these insurance coverage gaps as compliant? You can log in to Jones and override the insurance coverage gap as accepted or waived. Coverage gaps that are waived will appear as “Compliant” in Procore. Click here to learn more about waiving gaps.
  • Want to request new insurance documents from the subcontractor? Log into Jones and click the "Send Gaps" button to send an email notification to the subcontractor requesting new insurance documents. Click here to learn more.
  • Have a new set of insurance documents on hand for the subcontractor? You can upload them on behalf of the subcontractor. Click here to learn more.
  • If its been over a week and you still haven’t collected the subcontractor’s new insurance documents, you can log in to Jones and click "Resend Invitation" to try and collect the new insurance documents again.

A COI was not required for this subcontractor.

    • If at any point in time you would like to request a COI from this subcontractor, you can log into Jones and hit the "Request COI" button. You'll then be prompted to select a set of requirements.

Archived records are subcontractors that are no longer working on your projects. They have their own section in Jones and are not displayed with all of the other active records.

  • If you want the subcontractor to remain archived, there is nothing you need to do.
  • There is no way to restore archived records in Procore. You can log in to Jones to restore an archived record by simply navigating to the "Archived" tab and clicking the "Restore" button.
